Who Approves Vet Care While Your Dog Is Boarding?

Most boarding paperwork gets filled in at the counter in about ninety seconds, with a leash in one hand and a suitcase in the car. That is the wrong moment to work out who is allowed to say yes to treatment for your dog if something goes sideways on the second afternoon of your trip.
This is the part of boarding nobody wants to think about, which is exactly why it is worth ten minutes before you travel rather than ninety seconds at drop-off. Some of it is not optional: Suffolk County sets rules about what a boarding kennel may accept and what it must keep on file. The rest is yours to get right.
The person named in your emergency box needs three things: a phone they will actually answer, your permission to make a decision without calling you first, and a rough idea of what you would want done and what you would spend. A neighbor who can collect a dog is not automatically any of those.
What Suffolk County requires a boarding facility to keep on file
Suffolk County Code Chapter 302 covers animal shelters and kennels. Section 302-13 is the one that touches every boarding stay in the county. It says no dog may be accepted at a boarding kennel unless the owner provides the facility with a current health certificate from a licensed veterinarian confirming vaccination against a specific list of diseases, on two different clocks.

Everything else runs on a yearly cycle that lines up neatly with an annual vet visit. Bordetella runs on six months. That is why so many owners arrive genuinely believing their dog is fully covered and find out at the counter that one line has lapsed. Check the date on the certificate, not your memory of the appointment. Confirm current requirements with your own vet and with us before you travel.
Worth knowing what is not in place: New York State has no statewide licensing or inspection regime for boarding kennels, doggy daycare or grooming. Agriculture and Markets Law Article 26-A, which covers pet dealers, does not reach boarding, daycare or grooming, and the proposed Safe Pet Boarding Act (S8510 / A9123) is not law. Separately, New York does require a dog to be licensed and rabies-vaccinated from four months of age under Agriculture and Markets Law § 109.
So the county's disease-control and record duties are the floor, not the ceiling. There is no inspector coming to check the rest. Everything above that floor is a question you get to ask out loud, of us and of anyone else you are considering.
Emergency contact and decision-maker are not the same person
The form has one box. In practice it is doing two different jobs, and most people fill it with someone who can only do one of them.
A real decision-maker
- Answers an unknown number in the middle of a workday
- Has your explicit permission to approve a treatment plan without reaching you first
- Can give a veterinary hospital a payment method
- Knows whether your dog is insured, and with whom
- Knows you well enough to guess right when the question is not simple
What usually gets written instead
- Your partner, who is on the same flight as you, in the same dead zone
- A relative who has never been told they were listed
- Someone who can collect a dog but would never presume to authorize anything
- A number that was current two phones ago
- A name with no last name and no relationship next to it
Tell the person. That is the whole fix. One text before you leave — "you are on the form at the kennel, if they call, you can say yes up to about this much, my vet is this practice" — turns a name on a page into someone who can act.

Your regular practice is the first line. It is also, on most evenings and weekends, closed. Fill in both.

Boarding stays include full-day daycare, and meals run at 8am, 1pm and 6pm. Those are the natural checkpoints — food refused, a limp that was not there yesterday, an ear held oddly, an upset stomach that is not settling.

If we cannot reach you, we work down the form. This is the moment the difference between a contact and a decision-maker stops being theoretical.
A veterinarian decides what it is
We do not diagnose and we do not treat. Kennel and grooming staff are good at spotting that something has changed; only a vet can say what it is. If it looks urgent, getting your dog in front of a veterinarian and making the phone calls happen alongside each other, not one after the other.
It goes in the record
What we saw, when, who we called, what was decided. The county already requires us to hold records for twelve months after the last day of a stay, which means there is a written account rather than a recollection.
Boarding and daycare run out of 835 Portion Rd, Ronkonkoma. The East Northport salon at 16 Laurel Rd is grooming only, Tuesday to Saturday — so if you groom with us there and want to board, your boarding file starts fresh at Ronkonkoma and needs its own current certificate. Boarding check-in is 2:00pm to 7:00pm, check-out 7:00am to 11:00am, and the 30-minute meet and greet is the right slot to get all of this settled rather than the drop-off itself.
Update your details before every single stay
The file that was perfect in March is not automatically right in August. Between one stay and the next: phone numbers change, the friend you listed moves, a new medication starts, and — most often — the six-month bordetella clock quietly runs out.
Medication is the other thing to raise at booking rather than at the door. Doses that need giving outside roughly 7am to 10pm are a real limitation, and we would rather tell you that honestly in advance than have you discover it on the day. Feeding schedules can be adjusted for puppies, seniors and medical diets, and if you would rather not pack food, we can provide it at $5 per day per dog.

Questions people actually ask
What if nobody on my form can be reached?
That is the scenario the form exists to prevent, which is why we ask you to name someone reachable rather than someone convenient. If you genuinely have nobody local, say so at the meet and greet and put a spending authorization and your vet's after-hours referral in writing instead. A vet still makes the medical call — but nobody should be guessing about what you would have wanted.
My dog had a three-year rabies vaccine. Is that a problem?
No. Suffolk County Code § 302-13 sets a one-year window unless the vaccine is an approved three-year vaccination certified as such by your veterinarian. What matters is that the certificate says so. Ask your vet to make that explicit on the paperwork.
Coronavirus is on the list? Really?
Canine coronavirus, which is not the human one, is named in the county code alongside rabies, distemper, hepatitis, parainfluenza and parvovirus. Vaccination practice varies by practice and by dog, so this is a conversation to have with your vet in advance rather than a surprise on the day. Confirm the current requirements with both your vet and with us.
Is bordetella a guarantee my dog won't catch kennel cough?
No, and any facility telling you otherwise is overselling. What is loosely called kennel cough is canine infectious respiratory disease complex, with roughly eleven contributing pathogens according to the AVMA. The vaccine covers one significant piece of that. It is required, it helps, and it is not a force field. Anything respiratory goes to your vet, not to us.
Who inspects boarding kennels in New York?
For boarding, daycare and grooming, there is no statewide New York licensing or inspection regime — Article 26-A does not cover them, and the proposed Safe Pet Boarding Act is not law. What does apply in Suffolk County is the Chapter 302 requirement on vaccination records and record retention. We would rather tell you that plainly than let you assume a state inspector has already vetted every facility on your shortlist.
What does boarding actually cost?
$60 a night for a regular 4x4 private kennel, $75 a night for a premium 4x6, and every stay includes full-day daycare at no extra charge. Sales tax applies. Food is $5 per day per dog if you would rather not pack your own.
